Got questions about your data?
We're here to help

Look, we get it - nobody really enjoys reading privacy policies. But here's the thing: at Noctyrax Dominion Fitness, we're not just about helping you dominate your workouts. We're also serious about protecting your personal info.
This policy lays out what data we collect when you train with us, why we need it, and how we keep it locked down tighter than our Heavy Bag Room at 3 AM. We operate outta Vancouver, BC, so we follow all Canadian privacy laws including PIPEDA (that's the Personal Information Protection and Electronic Documents Act, if you're curious).
By signing up for a membership, using our facility, or even just browsing our site, you're agreeing to this policy. If something doesn't sit right with you, reach out - we'd rather talk it through than lose a potential training partner.
When you join the Dominion, we need some basics - your name, email, phone number, and address. Pretty standard stuff. We also collect your date of birth (gotta make sure you're old enough for those brutal HIIT sessions) and emergency contact details because safety first, always.
If you're doing personal training or nutrition planning with us, we'll also need health info like existing injuries, fitness goals, dietary restrictions - basically anything that helps us keep you safe and get you results without wrecking yourself.
We collect payment info to process your membership fees, class bookings, and any merchandise purchases. Credit card details, billing addresses, transaction history - the usual financial stuff.
Real talk: we don't actually store your full credit card numbers on our servers. That's handled by our PCI-compliant payment processors. We just keep enough info to track your payment history and handle refunds if needed.
Since we're open 24/7, we use access cards and security systems to track when you enter and leave the facility. This isn't Big Brother stuff - it's about keeping the place secure and making sure you're getting value from your membership.
We also log what classes you book, which equipment you check out (like boxing gloves or jump ropes), and session attendance. This helps us understand what's popular and what needs improvement.
Our security cameras cover common areas and entry points for everyone's safety. We're not filming in locker rooms or private training spaces - we're not creeps.
When you visit our website, we collect technical stuff like your IP address, browser type, device info, and which pages you check out. Standard website analytics - helps us make the site better and figure out what content actually matters to people.
If you sign up for our newsletter or follow us on social media, we'll track that engagement too. But don't worry - we're not gonna spam you with emails about protein powder at 2 AM.
We're not collecting data for fun. Here's what we actually do with it:
Running Your Membership: Processing payments, managing your access card, sending you class schedules, and keeping track of your bookings. Basic operational stuff that keeps the gym running smooth.
Personalized Training: If you're working with our coaches, we use your health info and goals to build programs that actually work for YOU. Not some cookie-cutter BS.
Safety & Security: Emergency contacts are there in case something goes wrong. Access logs help us know who's in the building. Security footage keeps everyone accountable and safe.
Improving Our Services: We analyze usage patterns to figure out when to schedule more classes, what equipment to invest in, and how to make the experience better overall.
Communication: Sending you important updates about facility closures, new classes, policy changes, or special events. We'll also hit you with marketing emails if you opted in, but you can bail on those anytime.
Legal Compliance: Sometimes we gotta keep records for tax purposes, liability protection, or because the law says so. Not exciting, but necessary.
We're not in the business of selling your data. Period. But there are a few situations where we share info with third parties:
Service Providers: Payment processors, email marketing platforms, booking software, cloud storage - the tech that keeps things running. These companies only get access to what they need to do their job, and they're contractually obligated to protect your data.
Professional Partners: If you're working with one of our nutritionists or specialized coaches, we'll share relevant health and fitness data with them. But only with your explicit permission.
Legal Requirements: If we get a valid court order, subpoena, or legal request, we might have to hand over data. We'll fight anything that seems overreaching, but we're not going to jail for you (sorry).
Business Transfers: If we ever sell the gym or merge with another facility, your membership data would transfer to the new owners. We'd give you a heads up if this happens.
Emergency Situations: If there's a medical emergency or safety threat, we'll share whatever info is necessary to protect you or others. This is non-negotiable.
Security's kinda like training - you can't just do it once and call it good. Here's how we keep your data safe:
Encryption: All sensitive data gets encrypted both when it's stored and when it's transmitted. Bank-level stuff.
Access Controls: Only staff who actually need access to your info can see it. Our front desk team can't see your credit card details, and our accountants can't see your workout history.
Secure Facilities: Our servers and physical records are locked down. We're talking restricted access, security cameras, the works.
Regular Audits: We regularly check our systems for vulnerabilities and update security measures. Think of it as maintenance work for your data protection.
Staff Training: Everyone on the team gets trained on privacy and data protection. They know what's at stake if they mess up.
Real talk though: no system is 100% secure. We do everything we can to protect your data, but if you notice anything weird with your account, let us know immediately.
Under Canadian law (PIPEDA), you've got some solid rights when it comes to your personal data. Here's what you can do:
You can request a copy of all the personal info we have on you. We'll send it over within 30 days.
If we've got something wrong, let us know and we'll fix it. Simple as that.
Want us to erase your info? We'll do it, except for stuff we legally have to keep (like financial records).
Unsubscribe from emails anytime. You'll still get important account stuff, but no promo emails.
If you agreed to something and changed your mind, you can pull that consent. Might affect certain services though.
If you think we're mishandling your data, contact the Privacy Commissioner of Canada. Their details are below.
To exercise any of these rights, shoot us an email at info@noctyraxdominion.info or call (604) 555-0187. We'll need to verify your identity first - just to make sure we're not handing your data to some random person.
We don't keep your data forever. Here's the breakdown:
Active Memberships: We keep everything current while you're an active member. Makes sense, right?
After Cancellation: Once you cancel, we'll keep your basic info for about 7 years. This is mainly for accounting, tax purposes, and in case there are any legal issues that come up later.
Marketing Data: If you unsubscribe from marketing emails, we'll stop sending them immediately but keep your email on a suppression list so we don't accidentally add you back.
Security Footage: Camera recordings are kept for 30 days unless there's an incident that requires longer retention.
Health & Training Data: If you're doing personal training, we keep your fitness assessments and progress notes for up to 3 years after your last session. Helps if you come back later and want to pick up where you left off.
Privacy laws change, our services evolve, and sometimes we just need to update how we handle things. When we make changes to this privacy policy, we'll:
If you're not cool with the changes, you can cancel your membership. We'd hate to see you go, but we respect your right to make that call.
If you've got questions, concerns, or just wanna chat about how we handle your data, hit us up. Seriously - we'd rather answer questions than have you worrying about this stuff.
